Glenorchy Cabins Terms and Conditions

Thank you for choosing to book your luxury cabin here at Glenorchy Farm we hope that you enjoy your stay. Please read the following Terms and Conditions that apply to your booking and set out the obligations between us. If you have any queries, please do let us know prior to booking.

Arrival & departure times

Arrival is 4pm onwards, if you need an earlier check in time, please contact us and we will do our best to accommodate you. Please let us know if you will be arriving late or you have been delayed so we can watch out for you.

Departure is any time before 10am so we have time to prepare for our next guests. The hiring party will be responsible for any cost incurred because of delayed departure.

Cleaning

When you arrive, you will see that the property has been cleaned and maintained to a very high standard.  Upon departure the property should be left in the same condition it was found. Normal cleaning service is included in the price. Excess cleaning may be charged for accordingly if the cabin is not left in a reasonable condition.

Care

Please report any damages or breakages so we can ensure we can replace them for our next guests. Each Cabin and its inventory are checked at every checkout, and we reserve the right to charge a fee for damage, breakages, or missing items. Should something be missing or broken it is in your own interest to notify us as soon as possible so that matters can be rectified whilst you are enjoying your holiday.

If for any reason you deem your accommodation or part of it to be unsatisfactory, please let us know immediately so that appropriate action can be taken. Subsequent claims will not be accepted.

Linen

All bedding - linen bed sheets and pillowcases, pillows, duvets, and duvet covers - are included, as are towels (2 per person). During two-week bookings fresh bedding and towels will be provided on the intermediate Saturday of the stay.

Laundry and clothes drying facilities

Each cabin has its own washing machine and there is also an outdoor clothesline alongside the cabin and an indoor clothes horse, there is also a drying room available next to the wee green shop (in construction 11/2022)

Fuel

All electricity is provided free of charge; an initial basket of firewood is provided for the wood burning stove and wood fired hot tub. The wood in your cabin is included in the price, further bags of wood are available in the storage box next to the hot tub (this is stocked up between guests), any extra bag from the storage box will be invoiced after your stay. This wood store is filled up between stays.

Please note that the Fire Pit is a communal space so ensure you take some firewood down to enjoy together.

Noise

Please consider any neighbours you may have and do not cause excessive noise/disturbance at any time, especially between the hours of 10.00pm and 8:00am.

Parking

There is parking right next to the cabins. Maximum two cars at each cabin. In snowy or icy conditions please contact us regarding access to the cabins.

Pets

Pets are welcome in the cabins however this is restricted to 2 adult dogs. They must be healthy (fully wormed and defleaed), fully house trained and kept under control at all times. You are advised to bring your dog’s feed bowls and beds. Under no circumstances are pets allowed on the beds, bedding or furniture and should not be left unattended or allowed to annoy neighbours or nearby animals. All fouling should be cleaned up after your pet immediately – bring plenty of poo bags. Please bring plenty of your own dog towels for drying.

Please be aware this is a working farm, and your dogs should be kept on a lead whilst outside the fenced cabin area. Be aware there are other guests that may not be comfortable around dogs therefore always keep them under control. Pets will be charged at a rate of £25 per dog per stay. We are happy to share local dog walks with you.

Smoking

Smoking is not permitted in any of the cabins or within their immediate vicinity. Please ensure you dispose of your cigarette ends in a responsible manner.

Wi-Fi

All Cabins have complimentary Wi-Fi. Our Wi-Fi is from EE 4G so be aware it may not be the fastest.

Electric Car Chargers

Please be aware we do not allow cars to be charged at the cabins, this will make our insurance void in the case of a fire. We have provided charging points for you to use next to the Wee Green Shop. Please charge your car here and we will invoice you after your stay (this will only be charged at our electricity rate - no profit will be made)

Booking terms and conditions

Price

Your accommodation is only provisional until you receive confirmation from us. The price of your holiday will be confirmed by email. This includes all linen, hot water, electricity, and heating. VAT is included in the price.

Payment

A deposit of 25% is payable at the time of booking.

If you cancel your holiday your payment(s) will only be refunded if we can re-book your cabin. A £50 administration fee will be deducted from any refund. We strongly recommend that you take out an insurance policy (usually available through a travel agent or insurance broker) to cover the cost of cancellation of your holiday by you for any reason.

The balance due must reach us at least 6 weeks before the cabin hire start date, otherwise your booking may be lost and the deposit forfeit.

For last minute bookings - if you book a cabin less than 6 weeks before the holiday hire start date the full amount is due at the time of booking.

Last minute cancellation – if you cancel your holiday within 4 weeks of your arrival date unfortunately, we will be unable to readvertise your cabin. Instead of our cabin sitting empty we offer any last-minute cancelled cabins to Calum’s Cabins, this is a charity who offer short breaks to families who are dealing with childhood cancer. This gives them a chance to get away and make memories to cherish (Welcome to Calums Cabin | Children’s Cancer Charity).

Security deposits

Your card details will be securely retained at the time of booking and a hold will be placed on your card two days before you arrive and will be released two business days after you leave unless any damage, misuse, extra cleaning or disruption has to be charged for. The hold amount will be £250. Details can be seen at the time of booking. No payment will be taken without notifying you first. All details are held securely and in accordance with the General Data Protection Regulations.

Delays and adverse weather

No liability is accepted should external factors and/or adverse weather conditions cause delay or cancellation of your holiday. We recommend that adequate travel insurance is taken out prior to arrival.

Change of holiday dates

This is not ordinarily accepted but in exceptional circumstances a change of holiday dates may be accepted where possible, subject to a minimum administration fee of £50.

Size of party

The number of guests stipulated for each cabin must not be exceeded under any circumstances, a maximum of 5 guests allowed in each cabin. We recommend no more than 4 adults. Only those persons listed on the booking form may occupy the accommodation. If this condition is breached, we reserve the right to terminate the contract immediately without refund. Infants (i.e. those 2 years old or under) will not count as guests as far as numbers are concerned but those 3 years of age and over will. A family of 2 adults and 3 children would be the only time we would recommend 5 people to stay at the cabin.

Signatory

The person who completes the booking form must be over 18 years of age and realise that in doing so they agree to accept responsibility for the hiring party and accept the conditions of hire on behalf of all those listed.

Hirer obligations

Hirers are expected to take reasonable care of the cabins and ensure that it and all the equipment in it is left clean and in good working order.

Breach of contract

If there shall be a breach of any of these conditions by any of the hiring party the owners reserve the right, at our sole discretion, to re-enter the property and terminate the tenancy without prejudice to the other rights and remedies of the owner.

Refunds in the event of unavailability of the cabin

Should for any reason beyond our control (e.g. fire, vandalism etc) the cabin not be available for the date booked then any charges paid in full by the hiring party will be refunded in full. The hiring party will then have no further claim against Glenorchy Farm.

Refunds will not be available if you are unable to travel to Glenorchy Cabins due to weather related or Government imposed travel restrictions.

No liability

Glenorchy Farm cannot accept liability for any injury, accident, damage, loss, expense or inconvenience, whether to person or property including cars, which members of the hiring party or any other persons may suffer or incur that arise out of the cabin hire or is in any way connected with it. All guests are advised to have adequate property and personal insurance in place prior to arrival.

Postage and packaging to return forgotten belongings will be charged. Any property not claimed within a month of your departure will be disposed of.

Complaints procedure

We hope that your holiday will be an enjoyable experience and that the need to complain should not arise during your stay. However, should it be necessary to complain we would ask that complaints be made during the stay so that they can be investigated immediately.

No compensation will be made for any complaints that are made after the holiday hire has ended, or where the hiring party has not allowed us to try to put matters right during the stay.

Eligibility

We offer self-catering holiday accommodation and therefore reserve the right to make the final decision as to acceptance of any booking, regardless of how the booking is made if we feel that our accommodation is not suitable for the proposed use. We welcome enquiries from genuine groups of holiday makers and certain long term lets.

Your agreement to these conditions of tenancy is assumed when you make full payment for your holiday.

Rent act

The booking agreement confers a right to occupy the accommodation for the period agreed for holiday purpose only. Therefore, the terms of the Rent Act are excluded.

Customer service

Please notify us immediately if something is not working so that we can put it right for you. Please do not wait until the end of your stay.
